Read utility supplier invoices and payments from Workday and submit audited utility invoices through Workday Web Services.

Vendor
Workday
Method
Workday Web Services (Resource Management: Get_Supplier_Invoices, Submit_Supplier_Invoice) and Reports-as-a-Service
Direction
Bidirectional
Typical setup
1 to 3 weeks

Workday customers usually record utility bills as supplier invoices with worktags for location and cost center. Trace Global reads those invoices so the audit can tie each utility statement to a posted, paid transaction.

We connect through Workday Web Services, using operations in the Resource Management service such as Get_Supplier_Invoices and Submit_Supplier_Invoice, and through custom reports exposed as Reports-as-a-Service for payment and worktag detail. Authentication uses an integration system user in a security group your Workday team controls.

If you want audited bills entered for you, we submit supplier invoices with worktags, amounts and the bill attachment, and they route through your business process for approval.

How the data feeds the audit

  • Flag duplicate invoices for the same account and service period.
  • Calculate late fees and deposits triggered by late payment.
  • Find utility spend still landing on inactive location worktags.
  • Track utility credits and refunds back to the supplier record.

Setup

  1. 1Create an integration system user and an integration security group.
  2. 2Grant the group access to supplier invoice and payment domains.
  3. 3Publish the Trace Global RaaS report with worktag and payment fields.
  4. 4Share the endpoint and credentials through the credential vault.
  5. 5Approve the site mapping after the first reconciliation run.
