What bill capture covers
Part of the 38-check audit that runs on every bill line, every month.
- EDI 810 invoice feeds
- ANSI X12 810 transaction sets from utilities that support EDI billing, with IT1 line detail and MEA meter readings.
- Utility portal retrieval
- Read-only credentials for each utility's commercial portal. We pull bill PDFs, interval data and account details on each cycle.
- PDF and paper bills
- Bills forwarded from the AP inbox or scanned mail are extracted line by line and matched to the account inventory.
- Bill-pay vendor exports
- If a bill-pay vendor already pays your bills, we read their monthly file instead of touching your payment flow.
- Interval and meter data
- 15-minute interval data from portals or Green Button Connect, used for demand and power factor checks.
- Account inventory reconciliation
- Every account is matched to a site, lease and GL entity, so closed sites and orphan accounts surface on day one.
Errors this catches
- Duplicate bills and paymentsThe same charges are paid twice: a cancel and rebill without an offsetting credit, a summary bill paid alongside its detail, or an AP double entry.
- Estimated reads never trued upBills based on estimated usage overstate consumption, and the correcting true-up never posts or posts at the wrong rate.
- Closed and vacant site billingAccounts keep billing customer, demand or minimum charges after a site closes, or a vacant unit is billed to the owner after a tenant took service.
Questions we get asked
Only where a utility has no EDI or bill-pay feed. Credentials are stored encrypted, used read-only, and you can rotate or revoke them at any time.
Twenty-four months by default, and up to 36 where a utility's refund rules reach further back. History is what lets us claim back periods and spot ratchets.
Have them scanned into the AP inbox or redirect the bill address to our mail processing center. Paper bills are extracted the same day they arrive.
